Introduction
This report is prepared to inform the post mortem result on brochure and video camera roles and responsibility in organizing the Security Awareness Seminar, as part of fulfillment of the Module MCM1571 – IT Management Special Topic.
Plan and Implementation
The main task of this unit is to manage and deliver the information about the seminar. The information was delivered in brochure, flyer and banner to public. The brochure design was started from the committee decision on the budget allocation and the content of the brochure that would be given to the audience and VIP. Supervisor also gave advices for designing the brochures. In designing phase, unit had to make some changes that refer to the changes and decisions from committee. The changes were caused by the other unit’s factor, like the tentative of seminar and the number of audience. Unit also had to consider about the budget allocated. Therefore, unit had to have some alternatives to obtain the brochure needed. Beside brochure, unit also had to prepare the video camera to record the seminar. The cameras were provided by Faculty and CICT. The cameras were operated by operators from the Faculty and CICT. The operators were given a guidance to take the event in seminar.
Reflection
The changes from other unit are very affecting the job of unit. In the first time, the brochure was designed to be printed in a good quality paper, but there were some changes in budget allocated for brochure, so the unit had to find alternative to make the brochure.
In preparing the video camera, unit could get the camera easily from faculty and CICT. Unit came to faculty and CICT to inform the technician that the committee would borrow video camera for the seminar. Unit also confirmed the time and the operator that would be operated the video camera. The operators were given a guidance to take the event, and the operator did their work well.
Challenges and Obstacles
The major challenges and obstacles faced by the unit were the budget for the seminar and to guide the video camera operator.
The committee had a very limited budget, so unit had to find ways to save the budget.
The video camera operator did not give a good attention on the guidance that given by the unit.
Lesson Learnt
What the unit has learnt from this experience are contingency plan must be emphasized in order to back up plan that do not turn well. The unit has to have a good communication skill to talk to the people out side the committee who involved in the work. The cooperation among the sub committee members is very needed to fulfill the tasks.
Conclusion
Overall, the seminar has contributed a lot of experiences to the unit, especially in managing plan for designing brochure and preparing the video camera. With the efforts that had been put up by all sub committee members and precious advice from lecturer, brochure and video camera were successfully managed and organized.
